What is an Apostille?

An Apostille is an internationally recognized certificate attached to a public document (for example: diploma, transcript, enrollment verification) that verifies the document’s origin so it will be accepted in most foreign countries that are members of the 1961 Hague Convention. 


Who needs an Apostille?

You will typically need an Apostille when you intend to use official New York documents abroad — for employment, further study, immigration paperwork, professional licensing, or legal matters. Common documents submitted for Apostille include diplomas, official transcripts, enrollment or graduation verifications, and notarized documents.


Obtaining an Apostille for CSI documents

Step 1 — Decide which document(s) you need apostilled

Confirm whether you need an official transcript, diploma, enrollment/degree verification letter, or another public document. If you’re not sure, check with the receiving foreign authority or embassy which document and format they require.

Step 2 — Contact the CSI Registrar’s Office to submit an Apostille request

Email the Associate Registrar for Historical Records, Dr. Brenda Valentin, to request the Registrar’s portion of the Apostille workflow (official letter, certification and notarized stamp). Use a clear subject line such as: “Apostille request — [transcript/diploma]” and include:

  • Your full name used at CSI, CSI EMPLID, and date of birth.
  • The document type (transcript, diploma, enrollment letter). Please note that students may request more than one document.
  • If you are unable to pick up your documents in person, please provide a signed official letter granting permission to a proxy. The letter needs to include the proxy’s full name and relationship to the student. Proxy must show identification when picking up documents.

Step 3 — Order the official CSI document

Official transcripts and/or Diplomas: CSI uses  for official transcript and diploma orders — order your document(s) there and have them sent via paper mail directly to Dr. Brenda Valentin, Associate Registrar for Historical Records (2800 Victory Blvd, Staten Island, N.Y., 10314). The Registrar’s Office must receive your official documents directly from Parchment to provide a letter of certification with a notarized stamp.


Fees & timing (what to expect)

  • NY Department of State fee: $10 per Apostille/certificate. () Please consult the Department of State website for further information and updates.
  • College fees: CSI does not charge a separate “authentication/notarization” fee beyond standard transcript/diploma fees. 
  • Processing time: Processing time varies based on the requested documentation from Parchment. Please allow at least 2 weeks for the college to receive your official documents and provide your notarized letter(s).
